Summary:

The Payroll Specialist performs payroll processing duties.

Essential Duties and Functions:

Payroll Processing

  • Ensure payroll is accurate, audited, transmitted and distributed on schedule
  • Perform payroll related activities including: maintaining records & filing systems, processing voluntary and involuntary deductions, transmitting 401k contributions and processing 401k loans, and distribution of W-2s
  • Maintain time and attendance system, audit time keeping records, audit PTO, holiday, and leave records
  • Reconcile payroll year-to-date expense with the GL
  • Provide supervisor’s and new employees payroll system training as needed
  • Produce and/or provide departmental, project, overtime and special reports as requested
  • Solve payroll problems, answer inquiries, and enforce payroll policies in a timely manner
  • Process final payroll checks and out-of-cycle payroll checks
  • Assist in development and implementation of payroll procedures, update knowledge of applicable local, state and federal wage and hour laws
  • Order commuter checks, based on payroll withholdings, timely
  • Investigate stale employee checks
  • Establish efficiencies to keep payroll streamlined
  • Process wage garnishments and respond to agencies as necessary
  • Maintain current knowledge of applicable state and federal wage and hour laws as well as our internal payroll and benefit policies
  • Investigate and resolve any issues, questions or discrepancies in paychecks
  • Timely and accurate payment of expense reports on paychecks
  • Filing, copying and scanning documents as required

 

Prepare Monthly Journal Entries and Reconciliations

  • Payroll clearing
  • Payroll liability accounts
  • Other payroll related GL accounts as needed

 

Customer Service

  • Practice and encourage the humane treatment of animals.
  • Provide quality customer service to clients, volunteers, and staff while actively promoting our mission, services, programs and events.
  • Promote donation and giving opportunities as appropriate.

Volunteers

  • Work cooperatively with all volunteers and recognize the talent and commitment they bring to the Society.

  • Ensure a safe work environment; following all safety guidelines and modeling safe work practices.
  • Take immediate action to address any safety concerns that could put a staff member, volunteer, client, animal, or the organization at risk.
  • Maintain a clean, healthy, and sanitary work area; follow all pest and rodent control protocols. Participate in keeping the SF SPCA campus clean and well maintained.

Reporting Relationships and Contacts:

  • Reports directly to the Director of Finance / Controller.
  • May receive direction from and provide assistance to Senior Accountant.

Physical Requirements and Work Environment:

  • Regularly sits at a computer station and repetitively enters data transactions.
  • Typically stands, bends, stoops, and crouches while filing documents manually.
  • Frequently lifts, carries and positions objects weighing up to 30 lbs when moving supplies and records.
  • May require weekday overtime and occasional weekend work.
  • Consistently exposed to animals and animal allergens under conditions with limited alternatives available.

 

Education and Experience (Required): 

  • Bachelor’s degree in Business or Accounting preferred
  • Five plus years experience in payroll processing or other related position
    • Non-profit organization experience preferred
    • Commitment to the mission, values, goals, and success of the San Francisco SPCA
    • Strong technological aptitude, particularly Excel expertise
    • Knowledge or experience with Paylocity a plus
    • Attention to detail and confidentiality
    • Proficiency in Microsoft Word
  • Superior customer service skills, including ability to articulate payroll information and respond to manager and employee inquiries effectively and timely
    • Great organizational skills with ability to prioritize multiple assignments

The salary for this position depends on the length and breadth of experience.
