Responsible for establishing and executing a comprehensive supply chain strategy for the SF SPCA including negotiation of vendor and distributor contracts, distributor performance, and overseeing inventory at multiple locations to ensure supply chain continuity of quality products and services to the shelters, veterinary hospitals and other programs of the San Francisco SPCA.

Essential Duties and Functions:

Procurement & Supply Chain Management

  • Responsible for analyzing historical expenditures and market trends to create a forecasting model for goods and services to meet the needs of the SPCA’s two campuses. Works collaboratively with program leaders to understand their future needs
  • Prepares and manages competitive bidding processes including RFP's, often in partnership with internal customers (e.g., program leaders)
  • Proactively identifies potential vendors to create the most relevant competitive bidding environment
  • Negotiation and execution of key supply and service agreements, both at the manufacturer and distribution level to ensure full transparency, while ensuring optimization of order size and delivery frequency resulting in reduced freight costs.
  • Sets cost reduction strategy that will result in increased funding that can be redirected towards life-saving programs
    • Promote donation and giving opportunities as appropriate
    • Leads cross-functional teams on initiatives to reduce costs and implement business process improvement, such as standardizing items used across programs and campuses

Inventory Management

  • Oversees management of on-site warehouse space locations, ensuring that there is adequate space to handle incoming product, while ensuring proper product rotation
  • Maintains a system for distribution of supplies to various campuses and departments. Ensures that inventory is controlled and costs are correctly allocated according to departmental usage
  • Partners with Facility Operations department to ensure that the receiving, processing and storage of supplies are done efficiently and safely

Contract Management

  • Negotiates warranty, maintenance and service agreements for key hospital goods and services, and partners with Facility Operations for R & M requirements
  • Negotiation and contract administration for key hospital services, such as laboratory testing
  • Negotiates and maintains other service agreements as needed

Regulatory Compliance

  • In collaboration with veterinary hospital managers, ensures controlled substances are safely and legally acquired, stored, tracked and reported
  • Ensures Material Safety Data Sheets are accurate, up-to-date and properly available to staff
  • Complies with all hazardous material reporting and safety requirements for on-site substances

Emergency Preparedness

  • Partners with Society leadership to maintain a disaster/emergency plan for the Society
  • Ensures needed emergency supplies are stocked and properly stored

  • As part of the Society’s Leadership Team, helps set the future strategy and direction of the organization

  • Assist all departments in situations requiring immediate problem solving
  • Promote good public relations in accordance with Society practices
    • Practice and encourage the humane treatment of animals
    • Provide quality customer service to clients, volunteers, and staff while actively promoting our mission, services, programs, and events
    • Work cooperatively with all volunteers, recognizing the talent and commitment they bring to the Society

Safety & Security

  • Follows OSHA regulations for all projects, equipment operation, and chemical usage including labeling, storage, disposal, and the use of personal protective equipment
  • Ensure a safe work environment; following all safety guidelines and modeling safe work practices
  • Follows all safety guidelines. Takes immediate action to correct any safety noncompliance that could put an employee, volunteer, client, animal, or the organization at risk

Physical Requirements and Work Environment:

  • The physical requirements described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.
    • Work is performed in an office setting in close proximity to a Veterinary Hospital and Animal Shelter
    • Regularly sits at a computer station and operates electronic equipment
    • Occasional bending, reaching, kneeling, climbing stairs, walking and lifting of up to 50 pounds while performing job functions
    • Regularly moves about the campus to coordinate work
    • Occasional weekend and evening work
    • Consistently exposed to animals and animal allergens under conditions with limited alternatives available.

Reporting Relationships and Contacts:

Reports to the CFO


  • Bachelor’s degree required, preferably in business or related field. MBA a plus, but not required
  • At least five years’ experience managing the supply chain function of a medium to large organization
  • Demonstrated track record of building effective supply chain strategies that have resulted in improved performance and reduction of costs
  • Valid California Driver’s License and insurable driving record

Knowledge, Skills and Abilities:

  • Commitment to the mission, values, goals, and success of the San Francisco SPCA
  • Strong analytical skills. Advanced proficiency with Excel and other quantitative analysis tools
  • Exceptional planning, organizational, and management skills
  • Effective written and verbal communication skills, with proven negotiation skills.
  • Ability to manage multiple, complex projects from concept to delivery
  • Collaborative work style. Customer-service orientation
  • Excellent computer skills in a Windows environment
  • Experience with NetSuite a plus, though not required


Salary and Benefits:


The salary for this position depends on the length and breadth of experience.
